ABOUT THE POSITION
Reporting to the Chief Financial Officer, the Database & Systems Manager is responsible for overseeing the museum’s technology stack including its computers, network, storage, cloud operations, end-user technology, telephony, security cameras, point-of-sale systems (POS), and customer-relationship-management systems (CRM). In collaboration with the IT MSP, this position will provide technical support for software, hardware, and applications, by performing problem diagnosis and providing timely solutions. Additionally, this position will develop and administer the museum’s database systems and be responsible for providing insight, data reporting and analysis support to a range of internal and external stakeholders.

Qualified applicants must be detail and deadline-oriented, results-driven individuals who can take ownership of a project and can work well without direct oversight. They must have good interpersonal skills and excellent communication skills, as well as the ability to perform duties with a high degree of accuracy in a fast-paced environment. Candidates for this position should have strong computer skills and the ability to maintain a friendly and professional disposition when working with all departments within The James Museum. Since the museum is open 7 days a week, your schedule might vary depending on the needs of the museum. This might include being able to respond to emergencies outside of normal business hours.

IT DUTIES & RESPONSIBILITIES

  • Supervises the outsourced MSP (manage service provider):
    • First point of contact for escalations
    • Guidance for ongoing projects assigned to MSP
    • Meet with MSP on a quarterly basis to review the current and status and progress of the relationship
  • Oversee and manage all IT tickets and projects while working collaboratively with the MSP and reporting to the CFO
  • Operates as a customer-service driven provider and thought leader across departments in order to optimize IT operations
  • Evaluates current applications and makes recommendations for improvement as needed
  • In collaboration with the CFO, develops and manages expense budgets for all technology while maximizing profits and reducing costs
  • In collaboration with the CFO, develop a framework for IT asset and lifecycle management in order to ensure that end-of-life assets are replaced proactively

DATABASE DUTIES AND RESPONSIBILITIES

  • Provide management and daily support for database utilization across all departments: oversee a satisfactory and friendly user experience; organize meetings with super users; set up training sessions; provide reporting and database solutions; as well as solicite and provide feedback
  • Manage and implement annual upgrades of database systems in the museum, creating testing plans which ensure thorough testing of all parts of the system, including custom reports
  • Collaborate with the Marketing team to ensure appropiate ticketing pathway of the website, prior to going live
  • Provide support to all departments in order for them to achieve data analysis of sales, fundraising campaigns, satatutory information rquests and organizational insight
  • To stay abreast of the latest trends and share best practices in the Tessitura community through online engagement, hosted meetings and networking with colleagues at other venues.

OTHER DUTIES AND RESPONSIBILITIES

  • In colllaboration with the CFO, develop, document, and implement policies and processes and to ensure those policies are adhered to across the organization
  • Updates job knowledge by participating in educational opportunities; maintaining technical skills, participating in professional organizations
  • Other duties as assigned

SKILLS AND EXPERIENCE

  • Experience working in a museum or cultural organization preferred: non-profit practices, visitor experience, analytics and processes, particularly with regards to fundraising, marketing, systems analysis, and/or quality assurance
  • Minimum of 2 years experience working with Tessitura and inventory Point-Of-Sale (POS)
  • A self-starter who demonstrates a high sense of ownership and can work independently, provide accurate work estimates, and manage timelines across multiple projects. Thrives in a fast-paced, multi-project environment with many stakeholders
  • Strong interpersonal communication skills in order to interface with various departments and management levels, technical and non-technical staff
  • Applicants are expected to have an undergraduate degree, with a preferred but not required focus in Analysis, Statistics, Computer Science or Data Science. Exceptions might be considered based on experience in the field
